Worle History Society treats your privacy rights seriously.  Here we set out how we will deal with your personal information.

 

1          WHAT PERSONAL INFORMATION DO WE COLLECT?

When you join Worle History Society we will ask you to provide certain information.  This includes:

  • Name
  • Home address
  • Email address
  • Telephone number

 

2          HOW DO WE COLLECT THIS PERSONAL INFORMATION?

We obtain the information directly from you.  We ask you to complete an enrolment form and to give your consent for us to store and use your data.  We need your consent to ensure our compliance with data protection legislation.

 

3          HOW DO WE USE YOUR PERSONAL INFORMATION?

We use your personal information:

  • To provide our activities and services to you.
  • To inform you about our activities and relevant issues that we think might be of interest to you.  We will use email, telephone or post as necessary.  Email communications will be sent BCC only. 
  • To administer and manage Worle History Society.

 

4          WHO DO WE SHARE YOUR PERSONAL INFORMATION WITH?

  • The information is available to committee members of Worle History Society only, for the purposes described in 3 above.
  • The only exception would be where we have a statutory duty to disclose it for other legal and regulatory reasons.

 

5          HOW LONG DO WE KEEP YOUR PERSONAL INFORMATION?

Enrolment registration takes place in September each year.  Renewing members will be asked to confirm their personal information.

Some members are unable to attend the September meeting.  To allow for late re-enrolments we will hold personal information until the end of February following that meeting. It will then be archived.

 

 

 

6          HOW YOUR INFORMATION CAN BE UPDATED OR CORRECTED

Members need to inform Worle History Society if their personal information changes.  The contact details of the Membership Secretary are printed on the membership card and available on our website.

You can check what information we hold in your name by contacting the membership secretary as detailed above.

 

7          HOW DO WE STORE YOUR PERSONAL INFORMATION?

Your membership details are held on a spreadsheet which is protected by password access.

Hard copies are held in a secure, locked location.

 

8          AVAILABILITY AND CHANGES TO THIS POLICY

This policy is available on the Worle History Society website.  Any material changes will be communicated at monthly members’ meetings and posted on the website.
